Document Security

We understand that your documents often contain sensitive personal and business information. We implement the following security measures:

Secure file transfer protocols for document submission
Limited access to documents on a need-to-know basis
Regular deletion of completed project files (within 30 days unless extended retention is requested)
Non-disclosure agreements with all translators and staff

Third-Party Services

We may use third-party services for:

Payment processing

These providers have their own privacy policies, and we select partners who maintain appropriate security standards.

Website Form Submissions

Quote request forms on this website are processed through a third-party form provider, which delivers your submission to our team by email. A submission contains only the details you type: document type, languages, receiving authority, approximate length, deadline, your name and your contact details.

You cannot upload a document through a website form. The forms have no file upload field. If we need to see a document to confirm scope or price, we ask you to send it on WhatsApp. The document security and retention terms above then apply.

Form submissions are retained by the form provider, and in our email records, for as long as needed to answer your enquiry. You can ask us to delete a submission at any time using the contact details below.

Your Rights

You have the right to:

Request access to your personal data
Request correction of inaccurate data
Request deletion of your data (subject to legal retention requirements)
Withdraw consent for marketing communications

Data Retention

We retain documents and project files for 30 days after completion unless you request extended storage or earlier deletion. Contact information and transaction records may be retained longer for legal and accounting purposes.

After 30 days, all uploaded documents, translated files, and working drafts are permanently deleted from our systems. If you need a copy of a completed translation after this period, we may be unable to retrieve it. Clients who require longer retention for ongoing legal matters can request an extension in writing.

WhatsApp Communication

WhatsApp is our primary communication channel for document intake and status updates. Messages sent to our business WhatsApp may be handled through Meta's WhatsApp Business Platform (Cloud API), which means Meta processes them on its servers on our behalf. Some of our replies are prepared with automated assistance: to draft a reply, the relevant part of the conversation may be processed by AI service providers, and we limit what is shared to what that reply needs. Your documents are not sent to these AI providers. A member of our team handles anything the automated assistance is not sure about. WhatsApp's and Meta's own privacy policies govern data stored on their servers.

Client Data Rights

You may request deletion of all personal data we hold by contacting us at info@onlinetranslation.ae or via WhatsApp. We will confirm deletion within 7 business days. Deletion requests do not affect records we are legally required to retain for accounting or regulatory compliance.

Data Deletion

You can ask us to delete the personal data we hold about you at any time, including data from your conversations with us on WhatsApp.

How to ask: send "Delete my data" on WhatsApp to +971 50 862 0217 from the number you used to contact us, or email info@onlinetranslation.ae with the subject "Data deletion" and the WhatsApp number or email address you used. We may ask you to confirm the request from that same number or email address, so that nobody else can delete or obtain your data.

We will delete:

The messages you exchanged with us on WhatsApp, as stored in our own systems
Documents and files you sent us, and any translations and working drafts of them
Quote details linked to you (document type, languages, page count and price quoted)
Your contact details and conversation notes

We delete the data and confirm by WhatsApp or email within 7 business days of your request. If you only want specific documents deleted, for example after your translation is delivered, say so in your request.

We may keep invoices, payment and transaction records that UAE law requires us to retain for accounting and tax purposes, only for the required period. Copies held by WhatsApp (Meta) or other service providers are governed by their own privacy policies; we delete what is in our systems and ask our providers to delete what they hold for us where they offer that option.
